Beginning of Term Comms for College Students

Beginning of Term Comms

These initial interactions are crucial for building strong relationships with our students’ families and their teachers. They help us ensure that our support is both relevant and of the highest quality.

You're also paid for this mahi, and connecting with the subject kaiako can help immensely with your own planning and understanding of the expectations and key dates ahead for your student.

We want to make this simple and easy to do. Please refer to the following templates below to use as examples.

Feel free to change the language a little to sound more like you, and make sure to only include ONLINE information if you are working online.

Email 1: Secondary Teacher Sample Email:

Tēnā koe {TEACHER},

My name is (Your Name) and I am a teacher working with Boost Your Learning to provide some one-to-one tuition support to (Student Name). I wanted to introduce myself with the aim that we can work together to support (Student Name) in their (curriculum area) learning. I find that tuition is most effective when the teaching I do aligns with the achievement standards being taught in class. My role will be to provide foundational support in identified gaps in learning and support, or extend (Student Name) to apply and understand learning in the achievement standards being taught in class.

It would be really helpful if you could share:

  • The assessment schedule for the year and the achievement standards being covered in class

  • Any areas you feel (Student Name) would benefit from one-to-one focus on

  • Any resources you would prefer I avoid to ensure we don't duplicate activities

I look forward to working with you to support/extend (Student) in their learning.

Ngā mihi nui ,

(Your Name)

Email 2: Secondary Teacher Replied and you are sharing your plan

Kia ora (Parent),

Now that I have connected with (Teacher Name), I have a clear idea of the context for (Student Name).

I have attached our Termly Overview of our learning goals for our session.

(Student) has the following key assessment dates coming up:

(Insert Key Dates and Assessment Type)

So our main focus will be (Indicate main area of focus)

Tuition is most effective when we communicate well with each other. At this stage in learning, it works well for students to bring key questions to our sessions. As I am aware of the overall goal, I can plan activities to help (student) feel confident and successful.

Tuition is most effective when I can adapt in the moment to your child's needs and help build important learning skills, such as how to ask questions or take effective notes. You can support this by:

  • Encouraging your child to bring any challenging material from school to our sessions

  • If your child is finding school material simplistic, invite them to ask what the next step in this learning pathway would be

  • If your child struggled with some of the follow-up material, to show what they have attempted independently, and we can work on improving these responses together

I will endeavour to make our lesson notes each week clear and simple, but if you have any key questions about the next steps, then simply reach out.

Ngā mihi nui,

Kia ora (Parent Name),

I haven't yet heard back from (Teacher Name). However, from your consultation notes, assessment, and initial conversations with the (student) and understanding of the key objectives at (Insert subject and level), I feel I have a strong understanding of the key learning that will be important for (student) this term.

I have attached my initial termly overview below. Should I hear back from (Teacher) in the next few days or weeks, we can continually adapt the plan to ensure (student’s) needs are met effectively in our sessions.
